One password manager, and recovery that works

A family password manager solves a problem that willpower cannot. Everyone gets their own vault, the household gets a shared folder for the logins that genuinely belong to everyone, and nothing has to be read aloud across a kitchen or typed into a chat message. Most family plans cover several people for roughly the price of one individual subscription.

Set it up in a specific order. Each person creates their own vault with a long passphrase they can remember. The shared folder holds only the accounts that are genuinely joint: the router, the streaming plan, the utility portals. Then each person changes their most important passwords, starting with their main email, because that mailbox can reset everything else.

Recovery is the half of this that people skip, and it is the half that decides whether a lost phone is annoying or catastrophic. Every account needs a current phone number, a second address someone actually reads, and where offered a trusted or recovery contact. Getting recovery configured before you need it is worth more than any other single hour here, because the alternative is arguing with a support form while locked out.

Photos and files that survive a lost phone

Automatic photo backup should be on for every phone in the house, checked once to confirm it is actually running, and checked again whenever someone gets a new device. The usual failure is silent: the free storage tier fills, uploads stop, and nobody notices for a year because nothing visibly breaks.

Cloud sync alone is not a backup, though. If a photo is deleted or a file is encrypted by ransomware, the sync obediently copies that everywhere. A family safe word and the call back rule

Two agreements, stated in one sentence each, prevent most financial losses in a household.

The call back rule: nobody acts on an incoming call, text or email about money. You hang up and dial a number you already had, from the card, the statement or a saved contact. This works because urgency and staying on the line are load bearing parts of the attack, and it needs no ability to spot a convincing fake.

The safe word: a word any family member must be able to say if they call claiming to be in trouble and needing money. Choose something nobody would guess, tell everyone in person, and never put it in writing online. The reason is specific rather than paranoid: a usable copy of a familiar voice now takes only seconds of recorded audio, so a voice on the phone is no longer proof of who is speaking.

Cover the children and the older relatives in the same conversation, ideally at the same time, so nobody is singled out as the weak link. If a parent or grandparent needs a longer session, do it separately and gently, because helping an older relative without taking over has its own rhythm and works badly as a group lecture.

What to set up this weekend

Two hours, in this order, and stop when you run out of time. Each step is useful on its own.

  1. Write the inventory. One page: accounts, the email each is registered to, who has access.
  2. Fix the main email accounts first. Strong unique password, two step verification on, current recovery details, and check for forwarding rules nobody set.
  3. Turn on automatic photo backup on every phone and confirm the storage is not full.
  4. Set a passcode of six digits or more on every device, and confirm the find my device feature is enabled and actually locatable.
  5. Agree the call back rule and the safe word out loud, with everyone present.
  6. Install the password manager and move the shared logins into it. The personal vaults can fill up over the following weeks.

Then put a recurring reminder in the calendar for once a year. Check that the backups ran, that recovery numbers still belong to phones people still own, and that nobody has left the household with keys to accounts they no longer need.
